Executive Assistant 

 

MAIN PURPOSE

Provide high quality and efficient assistance to support the requirements of CH-PS Management at the Myerstown production site in a timely manner. Under the direction of site change/communications leader works to send out necessary communications to the site. The individual will be an active support to the Site Leadership Management team. The individual must be able to be a filter for the issues that can be solved without the intervention of others for efficiency as well as manage information with a high degree of confidentiality. The individual is expected to perform consistently at a high level and must exercise initiative, creativity, independent analysis, discretion, self-motivation as well as a high degree of collaboration

 

YOUR TASKS AND RESPONSIBILITIES

 

The primary responsibilities of this role, Executive Assistant, are to:

  • Under the direction of the site Communications/Change Leader support plant wide communications Maintain interaction with other Bayer departments and areas to gain best practices, in CH North America
  • Prepare plant reports, collect information, assemble and communicate in an ordered fashion and in a relevant communication channel for the target audience
  • Provide effective calendar management for the Site Leadership Team, i.e., meetings, events, holidays, vacations, trips, transfers, appointments, reminders, management of Myerstown conference room reservations etc.
  • Manage business travel arrangements - booking flights, hotels, transportation, setting up agendas, itinerary
  • Provide logistical support for internal / external visits - hotel reservations, transport, catering, agendas, etc.
  • Coordinate site events including Employee Engagement Committee, and conferences outside and inside the company (OE Day, Family Day, Leadership Team Day, etc.)
  • Coordinate and plan departmental meetings - attendance and preparation of necessary material (weekly Leadership Team meeting, Town Halls, Skip Level Meetings, etc.)
  • Receive communications from the management team filtering and redirecting telephone calls, taking messages, emails and correspondence, providing responses when appropriate
  • Coordinate activities through the different departments and follow up to ensure that what is required is carried out (budgets for purchases related to plant issues, shipments abroad, procedures, ordering materials, etc.)
  • Prepare expense reports, invoice payment processing, petty cash management, approval of non-productive expenses on behalf of Management, requisitions of materials
  • Lead administrative support personnel by providing leadership support with new systems, new hire processes, etc.
  • Lead internal teams focusing on employee activities, community events, etc. and responsible to manage the associated budgets
  • Lead the donations program in alignment with Controlling

Required Qualifications:

  • Excellent leadership, organizational and problem-solving skills required

  • Must have good interpersonal communications, the demonstrated ability to build good relationships and promote trust
  • Must be organized and proactive, showing strong initiative and attention to detail
  • Must have autonomy and be able to manage priorities
  • Excellent digital and computer skills, especially in Microsoft applications including PowerPoint, Excel, and Word
  • Must be able to take concepts and create documents from the concepts
  • Possess integrity, be trustworthy and must be able to handle confidential information with discretion
  • Demonstrated ability to bring creative solutions and efficiencies to the site

 

Preferred Qualifications:

  • Associate’s Degree with 6 years of relevant experience preferred (Relevant experience defined as supporting executive level managers and a site function)
  • Design/graphic design experience is preferred
