Coordinator R&D Operations 

 

The Coordinator of Vegetable R&D Operations is responsible for supporting and managing procurement and R&D seed shipment activities, as well as providing administrative support for R&D Operations. This role ensures efficient shipment processes, and the continuous improvement of administrative and procurement workflows, while also ensuring adherence to applicable laws and regulations and company policies.

 

YOUR TASKS AND RESPONSIBILITIES

Logistics & Shipment

  • Organize and monitor shipment operations, including inbound and outbound shipments.
  • Prepare necessary documentation and ensure compliance with customs regulations, including quality testing for seed shipments.
  • When needed liaise with carriers, freight forwarders, and third-party logistics providers
  • Track shipment status, resolve delays, and generate performance reports.
  • Work closely with product supply- supply chain logistic team to ensure timely receiving and dispatch of incoming and outgoing R&D shipments.  
  • Maintain shipment records and other necessary documents for future audits / verification.
  • Support sending and receiving goods, supplies, and seeds as needed.

Procurement

  • Partner with procurement experts and R&D community to identify suppliers, negotiate contracts when needed, and manage cost-effective purchasing.
  • Prepare annual purchase plans, execute PR/PO, and manage invoicing and payment processes.
  • Negotiate, implement, and manage supplier agreements and prices in ERP (SAP/Ariba) in collaboration with legal and R&D stakeholders.
  • Manage and create CLMS contracts for external trials and R&D suppliers.
  • Inform stakeholders and budget owners about compliance with procurement rules and guidelines.
  • Contribute to process improvements in procurement and supplier management.

Administration Coordination

  • Perform administrative tasks for R&D Operations, including procurement, contracts, budgets, and organizing meetings/events.
  • Organize personnel and business events, support departmental meetings, prepare agendas, reserve spaces, and welcome guests.
  • Any other administrative tasks

 

WHO YOU ARE

  • Proficiency with SAP related logistic and procurement tasks, data analysis,
  • Strong communication, negotiation, problem-solving, and adaptability skills.
  • Knowledge of contract law, trade compliance, and logistics service provider management.
  • MBO education in administration, finance, or 3–5 years of relevant experience.
  • Proficiency in Word, Excel, PowerPoint, SAP/ Payment platforms
  • Ability to work independently, prioritize, and manage multiple tasks
  • Comfortable in a dynamic, fast-changing environment.
  • Clear communication skills and a preference for teamwork.
  • Continuous improvement mindset.
  • Good written and verbal communication skills in Dutch and English.
