Event Consultant - Calgary, AB 

 

Your tasks and responsibilities

The primary responsibilities of this role, Event Consultant, are to:

 

Involvement in key events with high complexity, sensitive content and/or important group of attendees to guarantee expected level of quality and ensure compliance and company’s reputation as well as manage event spend responsibly and compliant. Provide event expertise through tight steering of third-party event agency during the whole process on single event level. This position is located in Calgary, AB.

 

Key Tasks:

  • Build strong and trusted relationship to Event Owner. Get involved in content/agenda planning of an event at an early stage to provide overall counselling on event objectives and measures how to reach set goals but also challenge budget for planned activities and ideas to have a reasonable event spend
  • Closely manage the activities of third-party event agency within established budget respecting processes, policies and procedures. Safeguard compliance and ensure deadlines are met and quality of work meets the departments and Event Owners’ standards.
  • Determine the criteria for selecting suppliers based on event objectives and Procurement guidelines. Adhere to all spend caps and HCP spend and transfer of value requirements.
  • Direct and manage the third-party event agency within centralized sourcing and contracting program. Review event related contracts negotiated by third-party event agency to ensure best price and most favorable terms and conditions have been obtained. Engage Legal and/or Compliance Department for review as required.
  • Observe and evaluate third-party event agency planner’s on-site performance, provide feedback, solve problems and solicits feedback from Event Owner and provide recommendations based on feedback and observations.
  • Actively participate directing the third-party event agency in the reconciliation of expenditures and budget management. Ensure to provide correct data for Transfer-of-value reporting.
  • Exchange constantly with local Process Owner and assume additional responsibilities as assigned.
     

Who are you
Your success will be driven by your demonstrations of our LIFE values.  More specifically related to this position, Bayer seeks an incumbent who possess the following:

 

  • Degree in Event Management, Business Administration, Marketing or an equivalent qualification
  • Several years of experience in event management in the life science industry, in the Pharmaceutical business will be an advantage
  • Very good knowledge of national and/or international Pharma Codes
  • Professional experience in end-to-end service operations and in dealing with the complexities involved in the planning, negotiating and execution of events and related activities. 
  • Several years of experience in project management, must be able to manage staff of third-party event agency teams and make recommendations concerning department procedures to ensure that work objectives and quality and compliance standards are met.
  • Strong communicator with the ability to engage with stakeholders and challenge status quo
  • Reliability, assertiveness and confidence as well as creativity and open-minded
  • Team- and customer-focused as well as cost and quality oriented 
  • Computer literacy and skills in a variety of software applications are necessary, preferably with experience in using Cvent
  • Willingness to travel frequently
  • Very good knowledge of Bayer and its brands and products
  • Excellent verbal and written communication skills in English and local language
