Sr Executive Assistant 

 

 In this role, you will play a vital part in supporting RDLT initiatives, planning and coordinating major meetings, and facilitating site-wide events at our Chesterfield location. You will work closely with the Head of R&D's assistant and the Communications team to ensure seamless execution of events and activities involving VIP visits and external guests. As a key member of the R&D Operations Teams in St. Louis, you will manage complex meeting planning, onboarding/offboarding processes, and various administrative tasks. Your role will also involve supporting external contract negotiations, managing contractor relationships, and overseeing communication management for R&D events and programs. You will be instrumental in maintaining project schedules and budgets, generating reports, and ensuring organizational excellence within Bayer.

 

 

The primary responsibilities of this role, Senior Executive Assistant, are to:    

 

YOUR TASKS AND RESPONSIBILITIES

  • Assist with RDLT initiatives and large meetings planning, collaborating with the Head of R&D’s assistant and Communications team;
  • Support the St. Louis PMD and R&D Operations Teams with meeting planning, onboarding/offboarding, and office management tasks;
  • Lead coordination of Chesterfield Site-wide events, partnering with local teams and Facilities for successful implementation.
  • Assist with communications distribution and support leaders with event management and outreach activities;
  • Manage external contract negotiations and contractor/supplier relationships, ensuring timely processing of payments and deliveries;
  • Maintain and monitor project schedules and budgets, utilizing software for reporting and correspondence;
  • Demonstrate ownership of key topics and events within Bayer to assist the team in achieving organizational excellence;
  • Interact professionally with stakeholders and ensure local contracts are up to date;
  • Maintain electronic and paper files, coordinate office supplies, and perform typing and proofreading tasks;
  • Support global travel planning and expense reporting;
  • Maintain confidentiality with sensitive information and manage special projects as assigned;
  • Multi-task and prioritize workload to meet deadlines, supporting other senior leadership as needed.

 

WHO YOU ARE

 

 Bayer seeks an incumbent who possesses the following:

 

Required Qualifications:

 

  • Minimum of a High School Diploma or GED;
  • Experience in making domestic and international travel arrangements;
  • Ability to work independently and as part of a team;
  • Expertise in Bayer policies and procedures for meeting planning and expenses;
  • Strong skills in Microsoft Excel, Word, PowerPoint, Outlook, Travel Expense Reporting, Online Travel Booking, and SAP;
  • Experience managing multiple and global Outlook calendars and contacts;
  • Excellent oral and written communication skills;
  • Superior attitude toward colleagues and ability to maintain positive working relationships;
  • Ability to adapt and expand role to meet business goals;
  • Demonstrated attention to detail and ability to work around changing deadlines;
  • Demonstrated results orientation and productivity;
  • Demonstrated initiative and foresight.

 

Preferred Qualifications:

  • Bachelor’s Degree;
  • Seven years of administrative experience with a High School Diploma or GED;
  • Ten or more years of senior level administrative support or related experience.
