Event Manager 

 

As our Event Manager, you provide expert consultation on event planning and design to maximize the impact and return on investment of each event. You will oversee events of high complexity and sensitivity, involving important groups of attendees, to ensure the expected level of quality is met. Additionally, you will ensure compliance with industry standards and manage event spend responsibly across our three key divisions: Pharmaceuticals, Crop Science, and Consumer Health.

 

YOUR TASKS AND RESPONSIBILITIES

  • Build a strong and trusted relationship with your event owners -  provide overall consultancy at the early stage of event planning and challenge budget and ideas for planned activities to support measures on how to reach set business goals.
  • Support and introduce innovative event formats, drawing on best practices from other Event Managers and industry trends. 
  • Select suppliers based on established criteria, review event related supplier contracts to ensure the best price and most favorable terms and conditions have been obtained - perform compliance approvals for venues and hospitality of events managed by your department and engage Legal and/ or Compliance Department for review as required.
  • Closely steer the activities of third-party event agency considering established procedures to ensure deadlines are met and quality of work meets the departments and the event owners’ standards.
  • Support evaluation of third-party event agency planner’s on-site performance, provide feedback, solve problems and solicit feedback from the event owner and provide recommendations based on feedback and observations.
  • Actively guide the third-party event agency in the reconciliation of expenditures and budget management. Ensure to provide correct data for transfer-of-value reporting and tax forms
  • Exchange regularly with EDM Capability Pool Head, the Event management colleagues and/or the Business Partner and assume additional responsibilities as assigned.

WHO YOU ARE

  • Degree in Event Management, Business Administration, Marketing or an equivalent qualification and or several years of experience in a relevant field (preferably in a pharmaceutical environment)
  • Strong communicator (verbal and written in Dutch, French and English), customer focus with the ability to engage with stakeholders and challenge status quo as well as cost and quality oriented
  • Reliable, creative and being open-minded – able to think quickly and adapt to unexpected challenges that may arise during the planning or execution of an event
  • Effectively managing time to meet deadlines and ensure all aspects of the event are completed on schedule
  • Plan, prioritize, and manage multiple tasks and details simultaneously
  • Not afraid of administrative work (around 30% of the job)
  • A good team player and also able to work independently
  • Digital mindset, confident in dealing with digital media, familiar with MS office and related software preferably with experience in using Cvent or another Event Management software
  • Willing to travel occasionally and to work outside of office hours (evenings and weekends).
