Event Support Expert with German 

 

Main purpose:

 

The primary purpose of Event Support Expert role is to ensure the smooth execution of Bayer's national and international events by managing administrative tasks, maintaining accounting data, and handling Purchase Orders through SmartBuy. Key responsibilities include effective communication with stakeholders, processing invoices, conducting compliance checks, and overseeing the reimbursement process for healthcare professionals' travel costs. Close collaboration with external agencies is essential for ensuring compliance and seamless operations, while continuous process improvement is vital for success in a dynamic environment. Expertise in event support and accounting is crucial for delivering compliant and successful events.

 

Your Tasks & Responsibilities:

 

  • Complete all administrative tasks for national and international events promptly, ensuring compliance with regulations and smooth execution.
  • Communicate with stakeholders, including agencies, event managers, and accounting, regarding invoices, purchase orders, and other inquiries.
  • Maintain accounting data and work with SmartBuy for the creation and management of Purchase Orders
  • Checking and processing external invoices- releasing for payment
  • Manage filing, data maintenance, content review, report creation, communication, and compliance documentation.
  • Drive continuous improvement of processes and services to remain competitive in a dynamic event environment.
  • Collaborate with internal stakeholders and external partners to ensure seamless event operations.
  • Optimize and develop processes independently, both internally and cross-departmentally.
  • Create and update training materials for internal and external use.
  • Familiarize oneself with new processes and work topics independently.
  • Solve problems independently based on specific requirements.
  • Conduct onboarding for new colleagues and agencies.

 

Who Your Are: 

 

  • University degree in Event Management, Tourism Management or equivalent and/or an
  • apprenticeship in Event Management or office clerk.
  • very good IT knowledge (MS Office, Cvent, InEvent)
  • very structured and self-driven work attitude as single contact point for each event is
  • needed
  • very professional and customer focused mindset
  • very good skills in English (written and spoken) needed min. B2; German language min. B2 (written and spoken; preferred C1) is a must.
