Medical Operations Project Coordinator
The Medical Operations Project Coordinator provides strategic project coordination and administrative support to the Medical Operations and Medical Affairs team. This role is responsible for systems administration, operational coordination, and logistical support across the function, enabling compliant execution of priorities, effective management support and seamless collaboration with internal and external stakeholders.
This position reports into the Head, Medical Governance, Operations, and Patient Access.

What you will do:
- Coordinate planning and execution of short- and long-term departmental initiatives; including meeting preparation, agenda development, minute taking, action and outcome tracking; audit/inspection readiness and conduct.
- Support process optimization and operational efficiencies and contribute to change management activities related to new ways of working, processes and systems.
- Manage cost center and budget management, including purchase order creation, vendor setup, accrual tracking, invoice and payment processing; contract review and renewals within the contract lifecycle management system (CLMS).
- Extract, analyze and summarize data from various Bayer systems to develop high-level reports that support management review and decision making.
- Lead onboarding and offboarding activities, manage distribution lists and system access, coordinate translation requests and ensure ongoing refinement of onboarding guides and process documentation.
- Plan and execute internal meetings, external meetings, learning events & departmental events (in person and virtual) including logistics, travel and visitor coordination in line with corporate SOPs and the Innovation Medicines Canada (IMC) Code of Ethical Practices.
- Support digital and innovation initiatives across Medical Affairs, including video editing, dashboards, KPI, analytics and other digital enablement activities.
Who you are:
- Post-secondary education in project management, administrative studies or an equivalent combination of education and experience.
- Strong project management, time management and analytical skills, with the ability to balance strategic ‘big picture’ thinking with attention to detail.
- Proactive approach to problem solving with strong and independent decision-making skills with the ability to thrive in ambiguous situations, able to provide creative solutions to complex problems.
- Strong interpersonal and communication skills, with a customer-focused and collaborative approach.
- Agile learner with a commitment to high professional, ethical standards and ability to work in a multi-disciplinary environment.
- Proficiency in use of software programs including but not limited to MS Office 365, SharePoint, Veeva, Concur, etc.
- Experience with analytical tools such as Tableau and familiarity with AI tools would be considered an asset.

The base salary range for this role is between $72,800 and $109,200 Additional compensation may include a bonus or incentive compensation. Additional benefits may include insured benefits such as health care, vision, dental, disability, and contributory retirement savings plans, etc.
This salary range is an estimate and may vary based on factors including, but not limited to, market data and the applicant’s skills, prior relevant experience, job-related knowledge, specific degrees and certifications, and other relevant factors.
This role also provides the opportunity to earn additional performance-based compensation. If performance-based compensation is earned, the total compensation package may provide an opportunity to earn a Total Direct Compensation (TDC) range of $82,200 to $123,300. This TDC would include base salary and may also include items like bonuses (short-term and long-term incentives) and sales incentives. The estimated TDC range estimates performance-based compensation earned at 100% of target; however actual amounts may fluctuate below or above the TDC range based on company and/or individual performance.
