PURPOSE
Focuses on the execution of supply chain activities to ensure timely and efficient import delivery of products. This position involves coordinating logistics, managing inventory, and overseeing transportation processes. Works closely with vendors and internal teams to optimize workflows and address any operational challenges.
MAJOR TASKS & RESPONSIBILITIES
- Customs Compliance and Documentation

- Ensure Trade Compliance: Stay updated on local and international trade regulations, customs laws, and agricultural policies to ensure all imports comply with legal requirements.
- Prepare and Review Documentation: Prepare, review, and submit all necessary import documentation, including PIB, Purchase Order, invoices, BL/AWB, packing lists, bills of lading, Phytosanitary Certificate, Fumigation certificate, and certificates of origin.
- Prepare Import Duty Drawback Documents: Prepare all documents related to import duty drawback realization to ensure compliance and recovery of duties. Ensure timely payment for PIB that are eligible for periodic payment facilities.
- Vendor and Agent Management

- Select and Evaluate Vendors: Selecting appropriate vendors for import clearance to ensure reliability and compliance with regulations, conduct regular evaluation.
- Communicate with Clearance Agents: Ensure that clearance agents handle products safely both incoming and outgoing, and follow the trucking checklist provided by logistics.
- Logistics Management

- Coordinate Transportation: Manage the logistics of transporting goods and providing data to optimize costs and delivery times.
- Monitor Shipments: Track import shipments to ensure timely delivery and proactively address any delays or issues that arise during transit.
- Stakeholder Communication

- Coordinate with Internal Teams: Collaborate with procurement, material planner, supplier, and finance teams to ensure seamless operations and alignment on import activities. Generate reports on the clearance process to inform production planners, enabling them to prepare proper production plan.
- Maintain close alignment with: SCM team, warehouse team, seed production, QA/QC, regulatory, origin country teams to ensure all stakeholders are informed on shipment status, potential delays, and risk points. Providing regular updates and prepare contingency actions for late arrivals or rejections.
- Regulatory Compliance

- Liaise with Regulatory Authorities: Establish and maintain relationships with customs officials and regulatory bodies to facilitate smooth import processes.
- Inform Regulatory Department: Notify the regulatory department of any new tariff books issued to update HS codes and ensure compliance.
- Monitor Permits: Keep track of the expiration of permits related to the import process and inform the regulatory department to ensure permits are updated.
- Financial Management

- Budgeting and Cost Control: Monitor and manage costs associated with import operations, including shipping, tariffs, and customs fees, to ensure budget compliance.
- Invoice Management: Oversee the invoicing process related to import transactions, ensuring accuracy and timely payments.
- Prepare Clearance Planning: Prepare clearance planning for the finance department regarding funds required on a weekly basis for payment of import duties, ensuring funds are available for the clearance process.
- Process Improvement and Performance Monitoring

- Track KPIs: Establish and monitor key performance indicators (KPIs) related to import efficiency, compliance, and cost management.
- Prepare Reports: Generate regular reports on import activities, including performance metrics, compliance status, and risk assessments for management review.
- Procedures and Audit: Review and update import procedures as per existing processes to enhance efficiency and compliance. Leading import export external and internal customs audit.

Acts on behalf of Bayer in interacting with Plant Quarantine
- To be the point of contact at Bayer to take care of all the needs of the plant quarantine such as disposal of goods, other quarantine places and attending plant quarantine invitation.
- Seeds certification: Preparing, applying, keep monitoring plant quarantine certificates to ensure validity prior delivering seeds to outer islands or entering seeds to Indonesia.
