Warehouse Transport Last Mile Manager -
POSITION PURPOSE:
The Warehouse Transport Last Mile Manager – Consumer Health (CH) ensures the reliable, cost‑efficient, compliant and high-quality distribution of products across India. The primary focus is to drive exceptional performance in on-time, in-full product supply, while aggressively pursuing cost optimization strategies. The role will also focus on managing and optimizing relationships with local service providers across warehousing and transportation.
YOUR TASKS AND RESPONSIBILITIES:
Warehouse Management:
- Compliance and Operations: Manage warehouse operations in alignment with company policies and vision, overseeing receiving, warehousing, distribution, and maintenance. Optimize layout for efficient space utilization.
- Strategic Location Planning: Strategize warehouse locations across 29 states in relation to customer locations to enhance service delivery.
- Cost Optimization: Identify and implement significant cost-saving measures.
- Stakeholder Engagement: Liaise with large external Clearing and Forwarding Agents (CFAs) and transport entities, building relationships with senior stakeholders.
- Collaboration for Stock Movement: Work closely with the supply chain (planning, supply coordinator and customer solutions) and EXIM Customs to ensure efficient stock movement from CMOs (Contract Manufacturing Operations) to Central Warehouses (CWH) / HUB, and between CFAs based on stock movement needs.
- Stakeholder Management: Actively engage with stakeholders to manage ad-hoc processes at CFAs, warehouses, and transport operations, including scrapping activities.
- Inventory Management: Oversee stock segregation (saleable, expired, leakage, breakages), and conduct physical verification and reconciliation of inventory on a monthly, quarterly, and annual basis.
- Stock Handling: Ensure smooth handling of stocks at CFAs and timely dispatch through approved transporters.
- Regulatory Compliance: Verify that CWHs and CFAs possess valid storage and distribution licenses, comply with local FDA regulations, and have Goods and Service Tax registrations for repacking activities.
- Digitization and Improvement: Drive digitization initiatives within the warehouse network and pursue operational excellence by identifying continuous improvement opportunities in collaboration with global process owners.
- Policy Development and Training: Collaborate with local, regional, and global stakeholders to develop country commercial policies and train the service delivery network on operational procedures.
- Audit Support: Ensure expired stocks with approved write-offs are sent for incineration, destruction, or scrapping, and support audits by addressing queries promptly.
- Cost Monitoring: Actively monitor warehouse-related costs against budget, identify deviation drivers, and implement continuous improvement activities.
- Compliance Assurance: Safeguard compliance and ensure adherence to internal and external regulations, including a yearly evaluation of CFA operations performance.
Transportation Management:
- Transporter Collaboration: Work with Procurement and Country Quality teams to appoint transporters and ensure contracts are in place.
- Transporter Performance Evaluation: Conduct yearly evaluations of transporter performance.
- Shipment Planning: Plan and supervise shipments from production to end-users, including multi-drop scheduling for daily and weekly routes.
- Material Tracking: Monitor the movement of materials using functional systems.
- Cost Management: Monitor transportation costs and recommend cost-effective shipping methods.
- Logistics Support: Provide seamless logistics support to enhance customer service for commercial stakeholders.
- Temperature Monitoring: Timely share temperature readings of vehicles post-delivery with the Country Quality team.
- Cost Monitoring: Collaborate with the country finance business partner to track EOF-related costs against the budget and drive continuous improvement activities.
- Logistical Optimization: Ensure cost benefits to the bottom line by optimizing logistical activities while staying updated on safety regulations.
- Climate Change Initiatives: Address climate change issues by implementing transport strategies and monitoring the organization’s carbon footprint.
- Inventory Management: Oversee inventory at the Central Warehouse/HUB and billing locations, coordinating with internal stakeholders and Contract Manufacturing Managers to ensure stock availability and prevent sales loss.
- Product Segregation: Ensure products are segregated by division and legal entity, with saleable, expired, and near-expiry items stored separately.
- Return Coordination: Work with CFAs and distributors on stock returns upon delivery, investigating reasons for returns.
- Verification of Returns: Ensure that returned stock from customers is physically verified and timely orders are processed to avoid blocks.
- Warehouse Selection: Ensure selection of warehouses and CFAs complies with guidelines.
- Customer Complaint Resolution: Address customer complaints regarding dispatches within service level agreements.
- Audit Observations: Ensure timely closure of audit observations and streamline processes as necessary.
- Logistics Budget Management: Review and monitor the optimal utilization of the logistics budget.
- Safety and Regulatory Compliance: Adhere to all standard processes for safety, health, environment, and applicable statutory regulations.
- Warehouse and Transportation Management: Efficiently manage warehouses and transportation for customer dispatches and returns as per guidelines.
- Agreement Renewals: Monitor and ensure timely renewal of all logistics-related agreements.
- CFA Management: Oversee CFAs across the country, along with one Central Warehouse and one destruction hub.
- CFA Audits: Conduct visits to CFAs for audits and to monitor overall function.
- Inventory Reconciliation: Manage inventory and reconcile physical stocks on a monthly, quarterly, and annual basis using SAP.
- Commission Verification: Verify commission calculations for CFAs based on sales generated.
- Transporter Coordination: Finalize transporters and couriers at all locations regarding freight rates, payments, and performance.
- Regulatory Liaison: Coordinate with local regulatory functions for the renewal of drug licenses as required.
- Audit Support: Assist internal and external audits with necessary documentation and explanations in consultation with CFAs.
- Tax Liaison: Work with the tax function on GST topics, e-way bills, e-invoicing, and compliance with government notifications.
- Sample Coordination: Manage redress for imported finished goods samples at local manufacturing sites and coordinate with CMOs for sample conversion.
- Finance Coordination: Provide inventory details for all billing locations, including manufacturing sites, to cover inventory insurance.
- Write-Off Management: Prepare documentation for write-offs of expired, damaged, or leaked goods, obtain stakeholder approvals, and enter write-off entries into the system.
- Trade Association Liaison: Liaise with trade associations regarding sales stoppages or other issues.
WHO YOU ARE:
- Bachelor degree of Commerce preferably or post-graduation /diploma in Material Management or qualification in supply chain management will be preferred.
- 5 – 10 years of post-qualification experience gained at a leading multi-national Company and having deep understanding of Warehouse
- Management and Logistics operations with specific focus on managing temperature control goods.
- Hands on experience in working on SAP (SD & MM Module)
- Digital mind set and knowledge of common supply chain systems and emerging technology.
- Ability to use judgment to provide solutions to complex business problems and think beyond local context.
- Strong stakeholder management capabilities and comfortable working with all levels of management.
- Good knowledge of accounting practices.
- Mature business ethics and deep understanding of applicable regulatory requirements.
- Extensive knowledge of process improvement and change management approaches.
