Senior Executive Assistant
As a Senior Executive Assistant, you will perform various administrative duties supporting the Business Development and Licensing, Pharmaceuticals organization. Your assignments will involve work of a confidential nature and require a thorough knowledge of the practices and procedures of the function, company products, policies, and programs. You will play a critical role in supporting the department by assembling and analyzing information, preparing reports, manuals, agendas, correspondence, and memoranda, all guided by general company practice. You will establish and maintain departmental databases and develop spreadsheets that are essential to the department's operations.
YOUR TASKS AND RESPONSIBILITIES
The primary responsibilities of this role, Senior Executive Assistant, are to:
• Assemble and analyze information; prepare reports, manuals, agendas, correspondence, and memoranda;
• Establish and maintain departmental databases; develop spreadsheets of importance to the department;
• Assist in meeting planning and preparation, including drafting agendas and broader communications;
• Coordinate details of departmental meetings and/or on and off-site conferences and events;
• Prepare materials in final form from rough drafts, utilizing technical terminology and combining materials from several sources;
• Manage business travel arrangements;
• Screen and redirect calls, take messages, handle mail;
• Coordinate activities across departments and follow up to ensure requests are carried out;
• Process expense reports and payment of invoices;
• Interface with other assistants to share and coordinate workload;
• Cross-train lower-level assistants in the department;
• Perform additional accountabilities as required.
WHO YOU ARE
Bayer seeks an incumbent who possesses the following:
Required Qualifications:
- High school diploma;
- Proficiency in PC applications such as Word, Excel, and PowerPoint;
- Ability to manage competing priorities;
- Strong interpersonal skills;
- Highly organized;
- Able to work with employees at all levels of the organization.
Preferred Qualifications:
- 10 years' relevant experience or associate’s degree with 8 years' relevant experience
